Job Posting: Assistant to Directors and Programs

REASON WHY POSITION EXISTS

Provides day-to-day administrative support for GRIL and its programs.  Part-time (30 hours/week) non-exempt position which reports to the Director.  Monday – Friday position with some evening and Saturday hours.

 

DUTIES AND RESPONSIBILITIES

  • Coordinate logistical arrangements for all GRIL core events including food, workshop packets, and audio visual.
  • Provide support to the director and program staff including
    • Scheduling meetings
    • Overseeing GRIL’s participant and alumni databases
    • Communication with parents, participants, alumni and other stakeholders
  • Works closely with the GRIL Director to:
    • Coordinate the production of all aspects of GRIL programs.
    • Assist with carrying out GRIL’s alumni strategies
    • Gather timesheets and other monthly program paperwork from employees
    • Coordinate the purchasing of all materials related to GRIL such as books, assessment tools, food, special event needs, and recognition items.
    • Coordinate the updating of website, calendar of events, announcements, and member directory.
    • Order and maintain promotional items and organizational identity materials/supply.
    • Work with volunteers to assist with trainings, newsletters, website and social media work. Assist with special projects as needed.
    • Oversee the upkeep of participant, staff and trainer employment files
    • Assist with bookkeeping, deposits and insurance

 

EDUCATION/EXPERIENCE

  • Associate Degree in business related field preferred or a minimum of three years administrative/secretarial experience in a highly professional corporate environment.
  • Excellent verbal and written communications, English grammar, spelling, punctuation and composition skills.
  • Demonstrated proficiency in a Microsoft Windows environment, including familiarity searching Internet web sites.  Desktop publishing and Photoshop experience preferred.
  • Excellent organizational skills with the ability to initiate, prioritize, follow through on projects, work independently and be self-directed.
  • Excellent prioritization skills in working with multiple customers.

 

ADDITIONAL REQUIREMENTS

  • Must be able to lift/transport boxes of approximately thirty (30) pounds, stoop, bend, and climb steps and stairs.
  • Must be able to open standard and lateral file drawers that require push/pull force.
  • Must be able to travel by use of commercial or private aircraft and to operate an automobile and be in possession of a valid driver’s license.
  • Must be able to work Monday – Friday with some evenings and Saturdays
  • Ability to interface effectively with all levels of management in a highly professional manner; the highest level of confidentiality must be exercised at all times.
